As of July 18th, the Medical setup screen replaces the Exam setup screen, and contains the Exam & Surgery Notes Templates.
Administrators wanting to set up their database to utilize all of PetPoint's medical features will need to go over the outlined steps. If your setup needs further customization, please see the Additional Setup Needed section below prior to attempting to use this page.

How to add Medical Personnel to the drop down lists “Performed By,” "Provider" and "Assistant" - See Edit Person, and add the association Medical Personnel to the persons you wish to see in that list.

You may also wish to address the already available contract text options - Spay Neuter Certificate, Spay Neuter Voucher (see Spay/Neuter Voucher on Add/Edit Item), Spay Neuter Waiver (see Waiver Type & Waiver Reasons on Add/Edit Field Value), Vaccination Certificate.
Existing users prior to July 18, 2011 will be given a medical user role based on their existing primary role:
Managers will have “Medical – Manager” assigned
Power Users will have “Medical = Power User” assigned
Users will have “Medical – User” assigned
Going forward, all new users that need to have access to the medical screen, you must provide them with new user roles on Add/Edit User. The new user roles are "Medical - User", "Medical - Power User", "Medical - Manager". "Administrator" level login will also see the medical options, and remember you can give someone the temporary "Jr Admin - Setup" user role to have them assist with setup items that you need help with while taking advantage of all of these new setup options.
These are your drop down lists that you can alter on the Add/Edit Field Value screen, that may be used when working with the Medical module.

This new setup screen contains these tabs:
General: Default Provider/Assistant, Treatment Recurrence Times Setup, Cancellation Rules for Outcome Release
Screens/Tabs: Screen / Tab Setup
Note Templates: Note Templates, Note Details
On this tab of the Medical set up you will assign a Default Provider and Default Assistant for the medical information entered into the database. The names in these lists are those who are marked with the “Medical Personnel” association on the Edit Person screen.
If your organization utilizes sites, you may have a separate default person per site, otherwise you are only able to choose one Provider and one Assistant. These are only defaults and can be changed when recording the medical record.


To work with the Treatment Recurrence Times setup, navigate to this tab. On this tab of the Medical set up you will define the times for any treatment that has been marked as “recurrence.” The items marked for recurrence will have the choices shown below selected based on how many times of day the animal’s medical need should be addressed. Click Submit to save.

The other option on this tab is Cancellation Rules for Outcome Release, and will determine what happens to scheduled medical items when the animal has an outcome recorded.
To use this section, select the Outcome Type, and individual subtypes or select All Subtypes and click Add. Submit when done.

This page will let administrators control what specific Medical Tabs, or content their users will see & use depending on which Exam or Surgery Type they select. An example of the Medical Tabs is shown below:

Begin by selecting a Medical Record Type and Exam or Surgery Type from the drop down. The content of the drop down menus is controlled on the Add/Edit Items setup section and must be in place before this step can be completed.

Include: You can choose to include all of them by checking the boxes, or customize it by leaving unchecked certain sections like Vaccines or Tests. For example, perhaps in an Emergency Exam it is standard procedure that no vaccinations take place. In this case, administrators can optionally take out the Vaccinations tabbed section completely whenever a user is adding in Emergency Exam. This system is in place to make certain processes less cluttered and more streamlined for the user.
Allow Multiple: You can also say if the user can add in multiple Tests per one Exam or if they are only allowed one entry per section. It is a good idea to allow them to add multiples.
One Required: You also have the ability to say if any of the sections are required in order to complete the exam. This will not allow them to save the exam without at least one exam item entered for that tab.
Check the boxes for the selected exam. Click on Submit to save your changes.

Templates are used on the Care Medical screen and will allow users to
save time by selecting a list of pre-made note templates to use for their
medical exams.
Step 1 - Select the Note Type, and enter the name of the new template. If the Active check box is not selected, the template name will not be available in the template drop down list in the Care Exam screen. By default this is checked.
Step 2 - Type or cut and paste in text you want to use for the body of the note in the large text field.

Step 3 - Click the Add button to add the new template to your database.

When there have been many notes added, and you wish to bring the most commonly used note to the top of the drop down list, you may wish to add an astrisk* to the beginning of the note's name.

The notes section on the Details
tab of the medical record will include a Template drop down where you
can choose your Note Templates. Click Override to begin again with
your Note Template. Append will add the note to the end of any notes
that are already there.
